Accounts Receivable & Trust Account Specialist

Accounts Receivable and Trust Account Specialist will process incoming payments from clients and maintain AR records. This person will also review receipts for accurate posting and daily cash applications and attorney trust applications. The successful candidate is detail-oriented, organized and self-motivated with strong people skills. Must have flexibility in daily work schedule as workload and departmental demands require.

ESSENTIAL RESPONSIBILITIES:

  • Identify, process and post cash receipts for operating, IOLTA and Escrow accounts
  • Process bank deposits via remote check deposit device
  • Process/post client credit card payments and distribute payment notifications
  • Process wires and account transfers on bank websites
  • Create transfers, reallocations and apply retainer funds as directed by attorney
  • Process trust account distributions in accordance with firm policies
  • Research and resolve client account and invoice discrepancies
  • Maintain records in the document management system
  • Provide ACH/wire notification to legal assistants/attorneys for processing
  • Process accounts receivable write-offs and payment reversals
  • Complete client audit paperwork and third party requests
  • Review Operating and client trust accounts to the bank and Ledgers
  • Investigate and communicate with internal staff on payments and resolve any AR issues
  • Provide the firm and management with pertinent reports on cash receipts
  • May perform back-up duties for other positions within the financial services team

EXPERIENCE AND SKILLS REQUIRED:

  • A minimum of two years’ experience (legal or service industry preferred)
  • Experience using Aderant is a plus
  • High level of accuracy, accountability and attention to detail
  • Excellent communication, research, problem solving and time management skills
  • Able to build relationships with internal departments and comfortable talking to all levels
  • Intermediate Excel skills and working knowledge of Office
  • Flexibility in daily work schedule as workload requires (overtime may be necessary)
