Accounts Payable Specialist

POSITION SUMMARY

Provides support to attorneys, firm personnel, and vendors to monitor and maintain the accounts payables activities within the firm.

ESSENTIAL FUNCTIONS

  • Prepare batches of invoices for daily data entry and process accounts payable.
  • Identify and resolve all vendor invoices, statements, and internal inquiries to ensure accurate and timely payment of invoices.
  • Receive and appropriately route invoices for approval in accordance with firm policies.
  • Manage weekly check runs.
  • Ensure vendors and suppliers are paid in a timely manner and according to firm protocols.
  • Prepare vendor checks for mailing.
  • Process urgent/manual payments as needed.
  • Monitor expense requests to ensure compliance with firm policies. Verify requests are properly coded and assigned to the appropriate profit center. 
  • Train users on accounts payable processes.
  • Identify and implement automated accounts payable processes.
  • Manage, organize, and establish accounts for American Express permitted users. Monitor the accounts and complete monthly reconciliations prior to month-end.
  • Process and ensure timely monthly payments for firm auto leases.
  • Complete wire and ACH transfers in USD or foreign currency.
  • Process and document petty cash funds and reimbursements.
  • Provide back-up reception coverage.

  • Perform additional work-related duties as assigned.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED

  • 2+ years Accounts Payable experience.
  • Strong verbal, written, analytical, organizational and interpersonal skills.
  • Flexibility in daily work schedule to meet firm's needs during periods of heavy workflow. Ability to work overtime when appropriate.
  • Strong computer skills; including proficiency in Word, Excel and Power Point, Microsoft Outlook.
  • Ability to use office equipment, such as computer terminal, copier and multi-extension phone.
  • A valid driver's license and ability to transport oneself to off-site locations independently of mass transit, if necessary.
