Business Development and Marketing Assistant

Job Description

Position Summary: The Business Development and Marketing Assistant is a core member of the Business Development and Marketing team and is responsible for supporting the ongoing business development and marketing efforts for practices and industries for Porzio, Bromberg & Newman and its subsidiary companies. Under the supervision of senior team members, the Business Development and Marketing Assistant will assist in executing internal and external communication initiatives, coordinate and track sponsorships, support and plan client events and seminars, and assist with updating and editing documents, marketing collateral, and internal and external presentations. This position will also support the CMO on specific projects related to the strategic plan and leadership of the Business Development and Marketing team including providing administrative support.

 

Specific responsibilities include but are not limited to:

Communications, Digital Marketing, and Presentations

  • Assist the department in managing and completing day-to-day requests by editing documents, presentations, and design pieces.
  • Assist the department in execution of digital and social media marketing by helping post content to the firm and subsidiary websites, social medial channels, and email marketing systems.
  • Manage, maintain, and track information in CRM system.
  • Edit and update website content including attorney biographies, practice descriptions, and representative experience.
  • Provide graphic design support for marketing collateral.
  • Track and maintain listing of awards and rankings.

Business Development - Work with Business Development and Marketing team to:

Support senior team members by providing administrative support for business  development projects including:

  • Coordinating content, document production, and tracking for RFP responses, proposals, and pitches.
  • Assist in practice specific strategic initiatives including updating and managing target lists, and tracking various business development initiatives.
  • Assist in coordination and project management of outside sponsorships, speaking engagements, and involvement in trade organizations including coordinating materials to be shipped to trade shows.

Marketing Events – Working with senior team members, coordinate all aspects of firm events to ensure that consistent process and best practices are applied to every event. Responsibilities include:

  • Assisting team members with event project management and coordination including managing outside vendors, coordinating a/v and room set-up, coordinating with other internal departments, and working with event speakers to create and collect all event-related materials.
  • Managing, building, and updating marketing mailing lists
  • RSVP tracking and reporting.
  • Creating and distributing event materials.
  • Onsite event support for registration and day of logistics.

CMO / Department Support

  • Provide proactive ideas and recommendations to advance department initiatives.
  • Assist CMO with administrative tasks including meeting and conference room scheduling, processing and tracking of expenses, and other administrative projects related to the department as needed.
  • Coordinate all aspects of onboarding new hires including creating, managing, and maintaining new hire project plans, drafting press releases and biographies, ordering business cards, setting up online bios, and planning photoshoots.

 

Position Skills and Requirements:

  • A Bachelor's Degree or associates degree from an accredited college or university preferred.
  • 1-3 years of law firm or other professional services industry marketing and business development experience, or agency experience preferred.
  • Strong organizational skills and ability to handle multiple projects at once in a fast-paced environment.
  • Must have excellent written and verbal communications skills and proficiency in Microsoft Office suite including PowerPoint and Excel, graphic design experience preferred.
  • Proficiency working with marketing and other technology tools including: email management systems, content management systems, CRM systems.
  • Well-developed analytical and problem-solving skills.
  • Proactive, detail-oriented, self-starter, with high attention to detail and ability to handle multiple projects simultaneously.
  • Willingness to acquire new skills and take direction.
  • Flexibility in daily work schedule to meet firm's needs during periods of heavy workload.
  • A valid driver’s license or the ability to transport oneself to off-site meeting locations independently of mass transit, if necessary.
  • Ability to meet project deadlines, work independently, and work well under pressure while handling multiple priorities. Attention to fine detail is a must.
  • Self-starter with flexibility and adaptability to changing work priorities, work flow, and work assignments.
  • Exposure to personal information requires confidentiality, discretion, and judgment.


The duties of the Business Development and Marketing Assistant include, but are not limited to, those listed above. The Business Development and Marketing Assistant may be assigned responsibility for other projects as deemed necessary by the CMO and firm management.
