Business Development Coordinator

Porzio, Bromberg & Newman, P.C. ("Porzio"), is a highly-respected, well-established and expanding law firm with two subsidiary companies and offices in NJ, NY, MA, DE, PA, and San Juan, Puerto Rico. 

Porzio is seeking a dynamic Business Development Coordinator who thrives in a confidential and fast-paced environment, to support a range of Marketing & Business Development projects. This position will report to the Director of Marketing & Business Development and will work collaboratively with other Marketing & Business Development department colleagues to provide cohesive support on strategic initiatives and key projects to ensure coordination, effective engagement with firm resources and high-quality execution of strategic projects and initiatives across the department and the firm.

This role is predominantly attorney-facing, providing significant autonomy and room for growth within the firm. The position requires a high level of organization and attention to detail, the ability to keep abreast of a heavy schedule, and to interact with individuals at all levels of the organization.

ESSENTIAL FUNCTIONS

  • Supporting formal and information requests for proposals (RFPs)and pitches throughout the entire life cycle, which can entail:
    • Perform detailed competitive intelligence analysis and opportunity assessments and make pursuit recommendations;
    • Organizing information relating to proposals and coordinating personnel contributing to the proposal processes;
    • Coordinating information and research requests with internal firm departments;
    • Identifying most applicable content and editing existing content for proposals and pitches;
    • Reviewing and editing content where necessary; supporting the development and maintenance of proposal content and practice group capabilities;
    • Coordinating and performing the assembly, production, and delivery of finished product; and
    • Fulfilling short- and long-term post-proposal activities, including recording and tracking in appropriate databases that will aid in determining win/loss rates, ROI, and client or prospect feedback.
  • Serving as a contact for assigned group(s) by proactively identifying and pursuing high-value, high-probability business development opportunities with new and existing clients.
  • Continual review to improve data mining, metrics and reporting of attorney/client relationships and attorney and Firm profiles.
  • Identify firm clients for whom incoming lateral attorneys can add value and coordinate introductions through client relationship principal.
  • Maintaining practice group content, which can entail:
    • Maintaining a thorough understanding of practice areas and attorney specialties, in support of better communications and client retention and development efforts;
    • Drafting and editing marketing collateral, including practice area descriptions, brochures, slide decks, and attorney biographies;
    • Maintaining a repository of practice group awards, accolades, and media mentions;
    • Assisting in design and circulation of targeted thought leadership to clients;
    • Tracking notable practice group and lawyer experience and formatting them for appropriate uses across various business development, communications, and marketing materials and mediums;
    • Updating biographies, firm, practice, case descriptions, and other business development and marketing content for websites and other business development initiatives; and
    • Ensuring that all content is up-to-date in central business development and marketing databases and websites.
  • Actively participate with the Marketing & Business Development Team by helping to advance firm-wide growth and cross-selling goals.
  • Work with attorneys to communicate firm’s successes to clients and prospects.
  • Identify and secure opportunities for firm’s attorneys to serve as media spokespeople on relevant issues, write bylined articles for key media outlets, and to speak at conferences and events.
  • Identify and coordinate opportunities to publicize Firm and practice group(s) achievements through press releases, interviews, and integrated marketing and business development campaigns.
  • Helping coordinate and support small-, medium-, and large-scale client development and brand positioning efforts, such as sponsorships, events, presentations, seminars, webinars, roundtables, retreats, and receptions, which can entail:
    • Using the firm’s contact relationship management (CRM) system to identify and confirm relationship targets; generating target lists for specific business development efforts and events; tracking registrations and RSVPs;
    • Develop and maintain mailing lists for firm events and marketing communication;
    • Coordinating logistics and managing relationships associated with these efforts; and
    • Provide support for events, conference sponsorships, and client development receptions, including invitation list development and invitation mailing, tracking RSVPs, organizing registrations, preparing nametags, preparing materials, reserving necessary equipment and venues.
  • Coordinate, prepare and draft submissions for major awards, surveys, questionnaires and legal directories (i.e., Chambers, NJBiz, ALM publications, etc.).
  • Provide general administrative support to the legal and business development teams as needed.
  • Other duties as assigned.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED

  • Bachelor’s Degree in communications, marketing, public relations, business or a similar field.
  • Minimum of 1-3 years’ experience in marketing, business development, event management and/or communications for a professional services firm – preferably a law firm or professional services firm. Prior paralegal experience welcome.
  • Excellent written and verbal communication skills.
  • Ability to work in an environment with shifting priorities and deadlines.
  • Excellent organizational skills and attention to detail.
  • Excellent relationship building capabilities. Ability to build rapport and trust with senior executives at the firm and clients.
  • Excellent interpersonal and presentation skills.
  • Ability to work flexible hours, including after regular business hours and on weekends.
  • Strong proficiency in the following systems/applications:
    1. Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams). Experience using PC computers is required;
    2. Social media platforms including, but not limited to, LinkedIn, Twitter/X and Facebook;
    3. Customer Relationship Management (CRM) systems and email marketing systems;
    4. Other marketing tools including MailChimp, Constant Contact, Survey Monkey, QR code creators etc.; and
    5. Document management systems.
