Legal Assistant - Corporate Restructuring & Bankruptcy

Porzio, Bromberg & Newman, P.C. seeks a legal assistant to support attorneys in its Corporate Restructuring and Bankruptcy practice in our Morristown, NJ office.   The ideal candidate will have excellent communication, organization, time management, and multi-tasking skills and be able to work in a dynamic environment. The candidate will be client-service oriented, have great attention to detail while meeting deadlines, quick to learn and adopt new technologies, and can easily switch gears.  The position requires an independent, self-motivated and flexible individual with excellent verbal and written communication skills.  Proficiency with Outlook, Word, Excel is required.  

ESSENTIAL FUNCTIONS:

  1. Ability to answer all incoming calls and make outgoing calls in a professional manner.
  2. Ability to revise materials including, but not limited to: correspondence, email, documents, memoranda, contracts and other projects.   Edit and finalize documents and copy and distribute to clients, attorneys, personnel and the court.
  3. Proofread and redline documents, correspondence, contracts and memoranda to ensure accuracy of copy, grammar, punctuation and syntax.
  4. Receive and transmit telephone and conference calls and messages to attorneys, clients and personnel.
  5. Handle incoming and outgoing mail.
  6. Coordinate travel arrangements securing air, hotel and car reservations for attorneys and clients.
  7. Set up and maintain client files.
  8. Coordinate conferences, meetings and appointments for attorneys and clients including scheduling conference rooms, meals and preparation of materials.
  9. Maintain calendar of meetings and business trips, apprising attorneys of responsibilities before commitment.
  10. Coordinate legal work through word processing, editing, communications and messenger services for the prompt production and delivery of documents.
  11. Coordinate preliminary conflicts checks with Conflict Check Group to ensure attorney and firm ability to represent requesting party.
  12. Maintain system for timely follow up on requests made by attorneys to colleagues and clients
  13. Review and edit bills prior to attorney approval.
  14. Coordinate and supervise e-filings and mass mailings, including filings with state and federal courts and agencies.
  15. Handle attorneys’ personal business and information in a discreet and confidential manner.
  16. Assist with preparation of correspondence, documents and spreadsheets on client matters.
  17. Perform additional assistant functions to support team objectives and client services including processing new client/matter reports, expense reports, preparing notebooks, assisting with marketing and business development activities and preparing exhibits.

OTHER RESPONSIBILITIES:

  1. Perform similar work-related duties as assigned.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:

  1. Proficiency with Outlook, Microsoft Office and ability to accurately type 75 WPM.
  2. Strong oral and written communication skills.
  3. Ability to establish effective working relationships throughout operational groups.
  4. Strong organizational skills and ability to multi-task and prioritize workload.
  5. Good knowledge of data management systems.
  6. Comfort with learning legal terminology pertinent to the area of assignment.
  7. Familiarity with state and federal court and administrative agency rules, procedures and deadlines is helpful, but not required.
  8. Ability to understand procedures and instructions specific to the areas of assignment. 
  9. Notary certification is helpful, but not required.
